Job Description
Overview The Training Specialist’s primary responsibility is to train new employees on the NextGen applications, along with all supplementary applications. A Training Specialist creates training materials, performs in-person software training classes for new employees and those who need refresher training, and makes practice site visits to evaluate retention of the material.
Responsibilities Daily Duties: - Effectively leads training classes of clinical applications for new personnel orientation (including but not
limited to, NextGen EPM, EHR, EDR and Document Management) and their associated clinic workflows.
- Trains on additional applications which include OTTO, OTECH, uStart, and Patient Portal.
- Meets with new staff and those who require additional educational assistance to determine and further
develop EPM, EHR, EDR and Document Management proficiency.
- Works closely with Super Users and Clinical Operations to verify that training accurately reflects current
workflows and processes. Quickly and efficiently updates materials when clinic flow and/or processes
change.
- Provides continuing education for staff to increase effectiveness and efficiency.
- Conducts site visits to observe and shadow staff to evaluate training effectiveness, identify areas of
improvement, and potential business process improvement opportunities.
- Identify potential fixes and customization needs.
- Tests templates and application workflows for functionality prior to upgrades and enhancements;
evaluates and provides feedback. Develops test cases and case studies for testing and training.
- Assist with planning, training and user acceptance testing for NextGen application upgrades.
- Provides back-up support for NextGen Support Team escalations that pertain to user workflow or other
training-related items.
- Other duties as assigned.
Administrative - Provides reporting to Clinic Managers, Associate Practice Administrators, and Practice Administrators on
students’ training progression and completion.
- Develops staff EPM, EHR, EDR and Document Management education plan proposals based on learning
needs assessments and feedback from evaluations.
- Trains Super-Users and Preceptors as directed by the Practice Administrators and Operations.
- Develops training materials for EPM, EHR, EDR and Document Management using a combination of paper
and various electronic media.
- Collaborates with the Data Analytics team to ensure that users are trained to document in the appropriate
manner as required by queries that measure clinical quality and productivity.
- Maintain and update all training related materials on the NextGen Training SharePoint site.
- Collaborate with Human Resources and Clinical Operations teams to facilitate scheduling of all new
employee training.
Qualifications REQUIRED EXPERIENCE, EDUCATION, AND LICENSE: - High school diploma or GED
- Minimum of one (1) year of Healthcare related experience in a front office/Billing or clinical back office setting.
- Minimum of (2) years of training related experience.
- Minimum of (1) year of classroom training facilitation.
Preferred Experience, Education, And License - Experience with medical practice management and electronic medical records systems
- Experience with NextGen
- Experience with EPM, EHR, EDR and Document Management systems, specifically NextGen
- Experience in developing technical training documents
- Experience with e-learning systems
- Experience with image and video editing software
- Willingness to travel up to 40%
